Meeting Minutes of the Indianola Port District Board of Port Commissioners Tuesday, May 17, 2016 – 7:00 PM Indianola Clubhouse, 20446 Indianola Road NE, Indianola, WA 98342

Commissioners in attendance: Jeff Henderson, Eric Cookson, John Lane Port Auditor: Susan Henry Recording Secretary: Jeff Henderson

Call to Order#

Commissioner Henderson called the meeting to order at 7:18 PM.

Commissioner Comments#

Commissioner Comments is the time for Board members to present verbal reports and suggest future agenda items. None.

Consent Agenda Items#

All matters listed within the Consent Agenda have been distributed to each member of the Commission for reading and study, are considered routine, and will be enacted by one motion of the Commission with no separate discussion. If separate discussion is desired, that item may be removed from the Consent Agenda and placed on the Regular Agenda by a Commission member or by Citizen Request.

• Meeting Minutes of the April 19, 2016 regular meeting – Commissioner Cookson moved to accept the minutes as submitted. Second by Commissioner Lane, passed unanimously.
• Accounting Summary Report by Port Auditor Susan Henry:
  • Net General Fund balance (not including project fund) is $90,051.42. Project Fund Balance is $4,036.77.
  • May 2016 debt service payment has been made.

Payables for May 17, 2016:

• Vouchers totaling $9,568.12 for Mantel Industries (new swim float ramp), Smyth Lumber (railing cap lumber), and Commissioner Lane reimbursement for Port expenses. Commissioner Henderson moved to approve vouchers. Seconded by Commissioner Cookson, passed unanimously.

New Business Items#

Port of Indianola Annual Report – Auditor Susan Henry#

• Annual report has been completed and submitted to the Washington State Auditor’s Office.
• Commissioner Henderson thanked Susan for her extra time and effort.

Rail Cap Replacement – Commissioner Lane#

• Volunteers have completed nearly 50% of railing caps; additional work parties are planned.
• Nearly 500 volunteer man-hours have been donated to decking, stair treads, and rail cap replacement. Commissioner Lane expressed appreciation for the community’s dedication.

Grant Update – Commissioner Cookson#

• RCO grant presentation will occur in Olympia on May 25, 2016.
• Awards from the RCO board will be announced in fall 2016.
• Commissioner Henderson thanked Commissioner Cookson for extensive work preparing the grant package.

Piling Stubs – Commissioner Henderson#

• Will investigate remaining piling stubs at the end of the dock during low tide the first weekend of June 2016.
• These are remnants of batter piles removed in 2015; several piles disintegrated due to internal rot. Stubs will hopefully be cut near sand level.

Swim Float and Ramp – Commissioner Henderson & Art Langlie#

• Coordinating delivery and installation of new ramp.
• Swim float expected in place late May or early June.

Website – Commissioners#

• Using a 3rd-party filtering service to reduce spam.
• Commissioners will revisit if spam volume remains high.

Indianola Dock Centennial Celebration – Art Langlie#

• August 27, 2016 celebration planning is proceeding.
• Port responsible for additional porti-potties and open house at the Indianola Clubhouse.
• Indianola Beach Improvement Club donated Clubhouse use.
• Donations will be solicited for entertainment costs.

Next Port Commissioners Meeting#

• June 21, 2016 meeting will not be necessary.
• Next meeting scheduled for July 19, 2016.

Commissioner Cookson moved to adjourn the meeting at 8:05 PM. Seconded by Commissioner Lane, passed unanimously.
