MEETING MINUTES OF THE INDIANOLA PORT DISTRICT BOARD OF PORT COMMISSIONERS, Tuesday May 17, 2016 at 7:00 PM, INDIANOLA CLUBHOUSE 20446 INDIANOLA ROAD NE, INDIANOLA, WA 98342

CALL TO ORDER Commissioner Henderson called the meeting to order at 7:18 PM
COMMISSIONER COMMENTS: Commissioner Comments is the time for Board members to present verbal reports and suggest future agenda items.
None
CONSENT AGENDA ITEMS:
All matters listed within the Consent Agenda have been distributed to each member of the Commission for reading and study, are considered to be routine and will be enacted by one motion of the Commission with no separate discussion. If separate discussion is desired, that item may be removed from the Consent Agenda and placed on the Regular Agenda by a Commission member or by Citizen Request.
A. Meeting Minutes of the April 19, 2016 regular meeting – Commissioner Cookson moved to accept the minutes as submitted. Second by Commissioner Lane, passed unanimously.
B. Accounting Summary Report by Port Auditor Susan Henry
1. Net General Fund balance not including project fund is $90,051.42. Project Fund Balance is $4,036.77.
2. Auditor Henry reported that the May 2016 debt service payment has been made.
C. Payables – Vouchers of $9568.12. Mantel Industries for new swim float ramp, Smyth Lumber for railing cap lumber, Commissioner Lane reimbursement for Port expenses.
Commissioner Henderson motioned to approve voucher. Seconded by Commissioner Cookson, passed unanimously.
OLD BUSINESS ITEMS
NEW BUSINESS ITEMS
A. Port of Indianola Annual Report – Auditor Susan Henry has completed the Port Annual Report and has submitted the report to the Washington State Auditor’s Office. Commissioner Henderson thanked Susan for the extra time and effort required to complete this report.
B. Rail Cap Replacement – Commissioner Lane reported that his group of volunteers have completed nearly 50% of the railing caps and scheduled work parties are planned in the near future. Commissioner Lane reports that to date our dedicated volunteers have donated nearly 500 man hours to decking, stair treads and rail cap replacement – their dedication to our dock and maintenance is greatly appreciated.
C. Grant Update – Commissioner Cookson reported on the RCO grant. Commissioner Cookson will be presenting the Port Grant application in Olympia on May 25, 2016. Awards from the RCO board will be announced in the fall of 2016. Commissioner Henderson thanked Commissioner Cookson for his many hours of work to prepare the volume of documents necessary for submission of the Grant Package to the RCO Board.
D. Piling stubs – Commissioner Henderson will investigate the few remaining piling stubs at the end of the dock during low tide the first weekend of June 2016. These stubs are the remnants of the batter piles that were removed in 2015. During removal several of the piles ‘disintegrated’ due to internal rot. Hopefully the pile stubs can be cut near the sand level.
E. Swim Float and Ramp – Commissioner Henderson and Art Langlie are coordinating delivery of the new ramp as well as installation. The swim float will be in place in late May or early June.
F. Web Site – Following discussions with Cory Gregerson and Matt McGinnis the Commissioners have decided to utilize a 3rd party filtering service at minimal cost to alleviate the volume of spam received by the Commissioners. If this does not lessen the amount of spam the Commissioners will revisit the issue.
G. Indianola Dock Centennial Celebration – Art Langlie reported our August 27, 2016 celebration planning is moving forward. The Port will be responsible for additional porti potties as well as the open house at the Indianola Clubhouse. The Indianola Beach Improvement Club has graciously donated the use of the Clubhouse for this event. Donations will be solicited for any costs associated with the entertainment portion of the event.
H. Next Port Commissioners Meeting – The Commissioner determined that the June 21, 2016 meeting will not be necessary, the next meeting will be held on July 19, 2016.
